INTRODUCTION
We are committed to being transparent about the personal data we collect about you, how it is used, and with whom it is shared, as set out in this Privacy Notice.
This Privacy Notice applies to personal data collected from all users, visitors, and applicants who access or use our recruitment web application available at https://careers.sabis.net (the “Application”).

The terms “you,” “your,” and “yours” refer to any user or visitor of the Application.
For the purposes of this Privacy Notice, “we”, “us”, or “our” refer, as applicable, to SABIS Educational Services S.A.L. in its role as the operator of the Application and as data controller for its own recruitment activities, as well as, where relevant, to SABIS Educational Services S.A.L. when providing recruitment support services in relation to a SABIS® school or entity, or to the relevant SABIS® school or entity acting as an independent data controller for its own recruitment-related processing, depending on the context.
This Privacy Notice (together with our Terms and Conditions) explains how personal data is collected, used, stored, and shared when you use the Application. Please read it carefully to understand our practices.
We may update this Privacy Notice from time to time. Any changes will be published on this page.
OPERATION OF THE APPLICATION AND DATA‑PROTECTION ROLES
SABIS Educational Services S.A.L. operates the Application primarily as a technical service provider, responsible for hosting, system administration, maintenance, and technical support.
Where SABIS Educational Services S.A.L. uses the Application to recruit for its own positions, it acts as a data controller for the corresponding recruitment‑related processing.
Each school or entity that is a member of the SABIS® Network and uses the Application to post vacancies and recruit candidates acts as an independent data controller for the personal data it processes in connection with its own recruitment activities. Recruiters using the Application process personal data on behalf of the specific school or entity they represent, which determines the purposes and means of the recruitment‑related processing.
SABIS Educational Services S.A.L. does not determine recruitment purposes or outcomes for schools or entities within the SABIS® Network.
WHAT PERSONAL DATA IS COLLECTED?
During the recruitment process, the Personal Data collected through the Application may include:
- Name, date of birth, citizenship
- Email address, telephone number, home address
- Passport details, photograph
- Résumé/CV
- Educational background and qualifications
- Professional experience and references
- Other employment‑related information you submit, whether in writing or, where applicable, through video‑based questions and answers
Recruitment Events (E‑Forms)
The Application is also used to generate electronic forms (“E‑Forms”) for the management of Recruitment Events. Personal Data collected through E‑Forms may include, for example, first and last name, email address, telephone number, and résumé/CV.
Cookies and Analytics
This Privacy Notice also applies to Personal Data collected through cookies and similar technologies used to maintain anonymized sessions, analyze usage, and improve the Application. For more information, please refer to our Cookies Policy.
WHAT DO WE USE PERSONAL DATA FOR?
Personal Data that you voluntarily provide may be used for the following purposes:
- To respond to enquiries regarding current vacancies within the SABIS® Network.
- To assess your application for a specific position and contact you for interviews where you meet the relevant requirements.
- To match your qualifications, skills, and experience with current or future job opportunities within the SABIS® Network; however, no further recruitment‑related processing will be carried out by the relevant recruiter without first obtaining your consent.
- To facilitate the application process, you may have the option to reuse information from a previous application when applying for a new vacancy. In such cases, your previously submitted personal data will be used to pre-fill application fields, and you will be able to review and update the information prior to submission.
- To inform you about new job opportunities where you have activated the job alert feature.
- To organize, manage, and facilitate recruitment events where you have submitted an E‑form, including reviewing applications and contacting candidates for recruitment‑related follow‑up.
- To manage applications for internship and trainee positions, including assessing suitability and contacting candidates where such vacancies are available.
- In certain countries, applicants may be required to complete an electronic form (E‑form) containing medical information as part of the recruitment process. Any personal data collected through such medical forms will be securely stored and accessed only by authorized personnel directly involved in the recruitment process. This data will be processed solely for recruitment and/or regulatory purposes and will be automatically deleted once the status of the application has been concluded (e.g., hired or not hired). Such data will be processed in accordance with applicable data protection laws and, where required, on the basis of your consent or other applicable legal grounds.
- As part of the recruitment process, candidates may be required to provide professional references. References may be contacted via email and asked to complete reference forms. Any reference‑related feedback and associated personal data will be used exclusively for recruitment purposes and will be subject to the same retention periods applicable to the candidate’s personal data. In certain jurisdictions, recruiters may be required to provide reference-related feedback to competent authorities as part of the employment process and in accordance with applicable laws/regulations. Applicants are responsible for ensuring that they have obtained the prior consent of their references to share their personal data for the purpose of being contacted and providing feedback as part of the recruitment process.
SHARED PLATFORM AND ACCESS TO CANDIDATE DATA
The Application operates as a recruitment platform for the SABIS® Network, enabling candidates to apply for vacancies and participate in recruitment-related activities across participating schools and entities.
If a candidate submits a general application that is not linked to a specific vacancy, their personal data may be viewed by recruiters across SABIS® schools using the Application. However, before any recruiter processes the candidate’s personal data in relation to a specific position, the candidate will be notified and their prior consent will be obtained by the recruiter representing the relevant school or entity.
If a candidate applies for a specific vacancy, their personal data will be processed only by the recruiter representing the school or entity offering that vacancy. While the candidate’s data may be visible to other recruiters within the SABIS® Network, it will not be processed by them unless the candidate’s prior consent has been obtained.

Internal Applications and Re‑Hiring Within the SABIS® Network
Where a candidate is currently employed by a school or entity within the SABIS® Network and applies for another vacancy within the Network, a performance feedback form may be automatically sent to the candidate’s current employer or employing entity for the purpose of obtaining feedback on the candidate’s performance, as part of the recruitment process initiated by the candidate.
Similarly, where a former employee applies for re‑employment within the SABIS® Network, a performance feedback request may be automatically generated and sent to the candidate’s previous employing school or entity, where applicable.
Any feedback collected through these processes, together with any associated personal data, will be used exclusively for recruitment‑related purposes, accessed only by authorized personnel, and processed in accordance with this Privacy Notice.
Recruitment Events and E‑Forms
Where you submit an electronic form (“E‑Form”) to attend or participate in a recruitment event, the personal data collected through that E‑Form, including any information provided and attachments (“Data”), will be processed by the event organizer(s) identified in the relevant form (the “Organizer”) for the purpose of organizing the event and managing participant registrations.
Where applicable, your Data may also be used to contact you regarding interviews or recruitment‑related follow‑up if you are shortlisted in connection with that event.
Data collected through E‑Forms will be processed solely for the purposes described above and will not be processed for any other purpose unless you provide separate consent.
Where applicable, including in the context of regional recruitment events, Data submitted through an E‑Form may be shared with recruiters from all participating schools or entities for the purpose of reviewing applications and managing recruitment activities related specifically to that event. A list of participating schools or entities may be provided upon request.
INTERNATIONAL DATA TRANSFERS
Personal Data may be accessed and processed by SABIS® entities located in different countries as part of the recruitment process. Where such transfers occur, appropriate safeguards are implemented to ensure that Personal Data remains protected in accordance with applicable data protection laws.
HOW DO WE PROTECT YOUR PERSONAL DATA?
The Application and its associated databases are hosted on Microsoft Azure cloud infrastructure located in Europe.
Appropriate technical and organizational measures are implemented to ensure the confidentiality, integrity, and availability of Personal Data. These measures include, but are not limited to, encrypted data transmission; role-based access controls (RBAC) to restrict access to authorized personnel based on the principles of least privilege and need-to-know; secure authentication mechanisms and access management procedures; logging and monitoring; and the regular review and maintenance of security controls to address evolving risks.
Authorized personnel of SABIS Educational Services S.A.L. may access Personal Data strictly to perform technical support, system/Application administration, and recruitment-related processing, where applicable.
In the event of a personal data breach, appropriate response procedures will be followed, and affected individuals will be informed without undue delay where required by applicable law.
RETENTION OF PERSONAL DATA
Retention periods
We retain Personal Data only for as long as necessary for recruitment, operational requirements and legal purposes:
- Successful applicants (employment or internship): seven (7) years
- Shortlisted candidates / further processing: seven (7) years
- For Morocco‑related applications: two (2) years
- Unsuccessful applications (including internships): two (2) years from last submission
- E‑Forms for Recruitment Events: one (1) year after the Event’s end date.
- Medical forms (where applicable): personal data collected through medical E‑Forms is retained only for the duration of the recruitment process and is automatically deleted once the status of the application is updated (e.g., hired or not hired). Such data will be subject to enhanced confidentiality, restricted access, and appropriate technical and organizational safeguards.
- Forgery, false, or misleading applications: basic Personal Data may be retained for up to fifteen (15) years. Application records: Certain limited recruitment-related records, which may include personal data, may be retained for up to 15 years where necessary to comply with legal obligations or to support legitimate interests in maintaining appropriate recruitment records. This may include retaining limited information to ensure the integrity, consistency, and proper management of current and future recruitment processes, including for risk management purposes and to support fair and informed decision-making. Such data will be subject to enhanced confidentiality, restricted access, and appropriate technical and organizational safeguards.
Where Personal Data is no longer required, it will be securely deleted.
LEGAL BASIS FOR PROCESSING PERSONAL DATA
We process your Personal Data in accordance with applicable data‑protection laws.
1. Consent (Primary Legal Basis)
Personal Data submitted through the Application is primarily processed on the basis of your consent, provided when you submit an application, complete an E‑Form, or otherwise agree to the processing of your Personal Data.
Consent‑based processing includes, in particular:
- receiving and reviewing your application for specific vacancies;
- contacting you regarding interviews or recruitment‑related follow‑up;
- considering you for recruitment events where you have submitted an E‑Form;
- allowing recruiters from schools or entities within the SABIS® Network to process your Personal Data where applicable; and
- managing applications for internship and trainee positions.
You may withdraw your consent at any time by contacting privacy@sabis.net. Withdrawal of consent will not affect the lawfulness of processing carried out prior to withdrawal, but may limit or prevent your continued participation in the recruitment process.
2. Pre‑Contractual Steps (Where Recognized Under Applicable Law)
Where permitted by applicable law, we may also process your Personal Data where such processing is necessary to take steps at your request prior to entering into an employment or internship relationship, such as assessing your application, arranging interviews, or progressing recruitment steps you have initiated.
3. Legitimate Interests (Where Recognized and Subject to Safeguards)
Where permitted under applicable data protection laws, certain limited processing of your Personal Data may be carried out on the basis of our legitimate interests. These interests include operating, maintaining, and securing the SABIS® Careers Application, preventing misuse, and maintaining limited recruitment and technical records for compliance, audit, and operational purposes.
Such processing is carried out only where it is necessary for these purposes and subject to appropriate safeguards, including data minimization, restricted access, and security measures. We also ensure that such processing does not override your rights and freedoms through a careful balancing of interests.
YOUR RIGHTS
Depending on your jurisdiction and applicable data protection laws, you may have the right to:
· Request access to your personal data and obtain a copy of the personal data stored on the Application, subject to applicable legal limitations.
· Request the rectification or deletion of your personal data
· Restrict or object to the processing of your personal data
· Receive your personal data in a portable format
· Withdraw your consent at any time, where processing is based on consent
· Lodge a complaint with a competent supervisory authority
