Job Purpose
Responsible and accountable for providing professional and comprehensive administrative support to the various functions of the Global Regional Center and the assigned regions, ensuring smooth and efficient operations across the different countries and schools. This role involves assisting with various academic and administrative tasks to ensure that operations are maintained in an effective, up to date and accurate manner.
Key Responsibilities:
- Generate comprehensive academic reports, review and compare them against other relevant reports, prepare concise analytical summary tables highlighting main findings, and submit them to the Regional Operations Manager for review and proper planning
- Revise the Watchlist and the list of failing/struggling students, compare them to the relevant academic reports, and share main findings with the Regional Operations Manager
- Follow up on retake and make-up exams’ lists and schedules, ensure no delays occur, and escalate any concerns to the Regional Operations Manager
- Collect material lists from schools for labs, libraries, activities, and events, and share them with the regional team on time
- Collect data (pacing charts, extracurricular activities, etc.) from assigned schools and the Regional Operations Manager, follow up on the process and progress, and ensure accurate data entry
- Monitor and follow up on exam lists and schedules
- Schedule and organize meetings, interviews, conferences, and events, prepare school visit agendas, take minutes, and distribute meeting materials when needed
- Facilitate communication and collaboration between the different functions of the Global Regional Center, providing support to initiatives and projects when requested
- Assist in the follow-up on school and regional task completion and projects
- Ensure class lists, seating charts, and prefect assignments are shared with the regional team
- Access SABIS360, check the number of class visits per HoD/Coordinator, AQC, and School Director, and share the information with the Regional Operations Manager
- Ensure and follow up on task completion from AQCs and Directors (progress reports, weekly planners, etc.), and send reminders as needed
- Follow up on, update, and ensure the efficient delivery of Core Curriculum items (pacing charts, exam schedules, revision sheets, etc.)
- Make sure that support classes, peer tutoring, and shadow teaching lists are shared on time
- Ensure steps related to enrollment requested by the regional team are completed on time, and schools save enrollment recommendations in Y-book
- Ensure schools complete all steps related to IT, finance, and class for new or withdrawing students
- Ensure timetables, course materials, and exams are received on time for each region
- Maintain and organize regional documents, records, and files while ensuring compliance with data protection and confidentiality policies, and secure proper storage of data files and records as per internal policies
- Help in following up on maintenance lists and stages in assigned schools
- Support yearly school orders for furniture and supplies
- Perform other related tasks as they arise and as delegated by the Management
Ideal Requirements:
- Bachelor’s degree in Business Administration / Management or equivalent
