Job Purpose
Providing support to the HR department through the implementation of HR policies, procedures and processes, as well as other support tasks in recruitment, and departmental administration, to contribute to the smooth and efficient running of various functions within the HR department.
Key Responsibilities:
- Updating and posting online vacancies on recruitment portals and company career webpage (SABIS® Careers), screening and shortlisting resumes, sending qualified applications and scheduling interviews with the line managers in order to support the school staffing needs.
- Documenting feedback related to applicants in order to keep a reliable record.
- Contributing to candidate sourcing: coordinating job fairs and related activities; networking with some university placement offices.
- Conducting interviews for local and expatriate non-native positions, as and when required.
- Liaising with the hiring managers for interview feedbacks, transfers, candidates’ status, etc. and updating applicants’ information on SABIS® Careers accordingly.
- Updating the recruitment database for CVs collected from external sources to maintain records of them for current and/or future vacancies.
- Managing all communication and paperwork associated with new recruits, including, but not limited to, the issuance of the letter of intent, the contract, application form, confidentiality/waiver agreement, and reference check collecting and assembling all documents for the personnel file and keeping all relevant parties informed as needed.
- Updating employee files in an accurate and timely manner, so that all personnel data are efficiently recorded, stored and retrieved as needed.
- Updating the monthly recruitment report for the department in order to keep all relevant parties well-informed on the recruitment needs and the number of vacancies filled.
- Monitoring employees’ leaves and attendance process, following-up with staff and concerned supervisor for corrective action, and informing the School Director of all pending situations.
- Scheduling and organizing travel arrangements and accommodation/hotel bookings for guests throughout the year.
- Receiving, deploying, and preparing requests for the insurance of staff within the school.
- Managing the vacation planning process for administrative staff
- Delivering the HR Orientation presentation to new and returning staff, and handling all activities related to the onboarding process of new recruits such as but not limited to, Onboarding Page, Employee Handbook, etc.
- Ensuring staff compliance with the school rules and regulations through regular updates and reports to the School Director.
- Scheduling and conducting technical assessment tests for external candidates and/or existing staff being considered for new roles (transfers).
- Monitoring the implementation of the Classroom Observations by ensuring a proper use of forms and an accurate data entry into the system. Generating and analyzing SSMS reports, reporting main findings and delays to the Regional team.
- Scheduling the HR Roundtable meetings, preparing and printing all needed documents ahead of time, and sharing the completed performance evaluation forms with the Regional HR Manager in a timely manner.
- Performing such other related tasks or projects as they arise and as delegated by the SABIS® school management
Ideal Requirements:
- Bachelor degree in Business Administration or equivalent; HR focus/specialization is a plus
- English Proficient
- 1-3 years of experience
- Professional Behavior and Ethical Conduct
- Communication skills
- Ability to work within a team
